How to send invitations and track RSVPs on WhatsApp

WhatsApp gets read faster than email. The hard part is keeping track of the replies. Here is a method that works for 50 guests or 1,000.

In short: Send each guest a short WhatsApp message with a link to an RSVP form, record replies in one guest list rather than in chats, and send a single reminder to anyone who has not answered. Tools such as Attend send the invitation and update the guest list automatically when guests respond.

The method

  1. Collect numbers properly. Get guests' numbers from the host with their agreement, in international format (for example +234…).
  2. Use an RSVP link, not replies. Ask guests to answer through a form or digital invitation, so every answer lands in one list.
  3. Keep the first message short. Who is hosting, what, when, where, and the RSVP link with a reply-by date.
  4. Avoid big group chats. Groups expose everyone's number and bury the details. Send individually or by broadcast.
  5. Send one reminder. Only to guests who haven't replied, about a week before the reply-by date.
  6. Send the final details. Venue directions, timing and dress code a few days before, to confirmed guests only.
  7. Thank people afterwards. A short thank-you and a feedback link the next day.

A message you can copy

"Hello Tunde, you're invited to Ada and Kunle's wedding reception on Saturday 13 March 2027 at 2pm, at Harbour Hall, Victoria Island. Please RSVP by 27 February: [link]. We look forward to celebrating with you."

Guest privacy

Guest numbers are personal data. Use them only for the event, don't share them in group chats, and delete them when the event is done unless guests agree otherwise. In Nigeria the Nigeria Data Protection Act 2023 applies; in the UK, UK GDPR.

Doing it in Attend

Attend sends the invitation by WhatsApp, SMS or email, updates the guest list as RSVPs arrive, and lets you remind only the guests who haven't replied. See how it works.

Frequently asked questions

Can I collect RSVPs on WhatsApp?

Yes. Send each guest a short message with an RSVP link, so answers land in one guest list instead of scattered chats.

Should I use a WhatsApp group for wedding guests?

It is better not to. Groups expose every guest's number and bury important details. Send messages individually or by broadcast.

How many reminders should I send?

One reminder, to guests who have not replied, about a week before the reply-by date, then final details to confirmed guests.
